What wedding transport do you need?

Most weddings need two separate things: the bridal party arriving on time, and guests getting between the ceremony, the reception and their accommodation. Sydney Maxi Taxi covers both, booked together under one fixed quote.

  • Bridal party: an Executive Sedan or Premium SUV for the couple, parents or attendants, cleaned before the booking.
  • Guest shuttles: a maxi van or seven seater running set times between hotels, the ceremony and the reception.
  • Late runs: the trip back to the hotels after the reception, so guests don't have to drive.
  • Airport pickups for interstate and overseas guests, with flights tracked. See airport transfers.

For the bridal party car, tell us who rides in each car and whether a long dress or a bouquet needs the back seat to itself. Planning photos at a park or a harbour lookout between the ceremony and the reception? Put the photo stop on the run sheet as its own leg: ceremony to photos, then photos to reception.

How do wedding guest shuttles work?

A guest shuttle runs at fixed times from fixed pickup points, so guests know exactly when to be in the hotel lobby. Print the times on the invitation or the wedding website, and give each hotel one pickup point.

  1. Hotel or meeting point to the ceremony, timed to arrive 20-30 minutes before it starts.
  2. Ceremony to reception, if they're at different venues.
  3. An early return after dinner for families with young children and older guests.
  4. The last run when the music stops, back to each hotel.

Put older guests and anyone with mobility needs on the first run, so they're seated early. Set the last run 15-30 minutes after the official finish, because farewells take time, and tell guests the shuttle times twice: on the invitation, and again in a message the day before.

More guests than one van holds? Two vehicles can run side by side or one after the other. See group travel for vehicle sizes, and our guide to wedding guest transport in Sydney for planning tips.

How do you plan the timing on the day?

Start from your run sheet and work backwards. Send the ceremony time, the photo locations and the reception times, and we build the pickups with a buffer, because photos tend to run over.

Venue details matter as much as times. Tell us where vehicles can stop and turn, such as a long gravel drive at a winery or a harbourside venue where the only stop is a loading zone. Then name one contact for the day, like your coordinator or a trusted guest, so the couple isn't fielding calls about the shuttle.

Outdoor ceremony? Give us the wet-weather venue too, so the drivers know where to go if the plan changes on the morning.

How early should you book wedding transport in Sydney?

As soon as the date and venues are confirmed. Book early for a spring or summer Saturday, and confirm the final guest numbers and the run sheet a week or two before the day.

Plans change. Call or WhatsApp 0416 507 515 and we update the plan and the quote.

What to send for a wedding transport quote

These details get you an accurate fixed price the first time:

  • The date, the ceremony and reception addresses, and the hotels guests are staying at
  • Your run sheet, or at least the ceremony and finish times
  • Guest numbers for each run, and who rides in the bridal party car
  • Any guests who need a wheelchair accessible taxi or child seats

Send it in the notes on the booking form, or email bookingsydneytaxi@gmail.com, and we come back with a price and a plan.

Transport for other events

The same planning works for event transport across Sydney: milestone birthdays, school formals, work functions, and big concert or footy nights. Book the trip there and the trip home together, give a realistic finish time, and agree where to meet afterwards, because event precincts get crowded at the end. Company events can go through corporate travel.
